How to use the fee receipt generator
- Add your institute details. Type your institute name with a short address and phone number. Parents should know exactly who received the money.
- Enter the receipt number and date. Use a continuous series, such as 2026-27/0001, 2026-27/0002, and never reuse a number.
- Fill in the student and course. Add the batch too, so siblings or students with similar names never get mixed up.
- Describe the payment. Write which installment or month it covers, enter the amount and pick the payment mode. For UPI or bank transfer, add the UTR or transaction ID; for a cheque, add the cheque number.
- Check the preview and print. The amount in words updates as you type. Click Print receipt to print it or save it as a PDF.
Tips for fee receipts parents trust
- Give a receipt for every payment, including UPI. A payment screenshot proves money moved, but not which student or installment it was for.
- Show the balance due. When parents can see what is left and by when, the next payment comes in with fewer reminders.
- Keep one numbering series. If the owner and the front desk both collect fees, they should still use the same series. With more than one branch, add a branch prefix.
- Do not edit a receipt after issuing it. If something is wrong, cancel it, keep the cancelled copy and issue a fresh one.
- Keep your own copy. Save the PDF in a folder by month, or note the receipt number against the student in your fee register.
Making one receipt by hand is easy. Tracking hundreds of payments, installments and balances across batches is where registers break. In Klass360 Fees & Refunds, every payment is recorded with its mode and reference, a receipt is created for it, and the student's paid and pending amounts always add up to the net fee.
