Free Tool Enquiry register template
Student enquiry register format (free Excel template)
A ready enquiry register with the columns that matter, from source to next follow-up date. Download it and open it in Excel or Google Sheets.
Columns in the template
| Column | What to write |
|---|---|
| Enquiry date | The day the enquiry came in. |
| Student name | Name of the student who will study. |
| Parent name | Who you will usually speak to. |
| Mobile number | Main contact number. Search this column before adding a new row, so one family is not entered twice. |
| Class / education | Current class, stream or qualification. |
| Course interested | The course or batch they asked about. Add a second row for a second course. |
| Source | How they found you: walk-in, phone call, referral, website, social media, banner. |
| Assigned to | The counsellor or staff member who owns the follow-up. |
| Stage | New, Contacted, Counselling done, Demo attended, Admitted or Lost. |
| Last follow-up date | When someone last spoke to the family. |
| Next follow-up date | The next promised call or visit. Never leave this blank for an open enquiry. |
| Follow-up notes | Short notes: what they asked, what you promised. |
| Loss reason | If lost, why: fees, distance, timing, joined elsewhere, no response. |
| Admission date | Filled in when the enquiry converts. |
Download the register
You get a CSV file named klass360-enquiry-register.csv with all 14 columns and 3 example rows that show how to fill it in. It opens in Excel, Google Sheets or any spreadsheet app.
Excel: double-click the file, then File > Save As > Excel Workbook. Google Sheets: File > Import > Upload. The sample rows use made-up names and numbers.
Your data stays on your device. The file is created inside your browser and saved straight to your computer or phone; nothing is sent to Klass360.
How to use this enquiry register template
- Download the file and open it in Excel or Google Sheets. Delete the three sample rows.
- Freeze the header row and turn on filters, so you can filter by stage, source or counsellor in one click.
- Add every enquiry the same day: walk-ins, calls, website forms and referrals. One row per course enquired.
- Search the mobile number first. If the family is already in the register, update their row instead of adding a duplicate.
- Fill the next follow-up date before you close the row. Each morning, filter this column for today and overdue dates; that is your call list.
Tips to stop losing enquiries
- Keep stages short and fixed. Six stages everyone understands beat fifteen that nobody updates.
- Always record the source. After a season you will know which banners, referrals or pages actually bring admissions.
- Always record a loss reason. If many families say "timing", you may need a new batch, not more marketing.
- One owner per enquiry. When everyone is responsible, nobody calls back.
- Review the sheet weekly. Count new enquiries, admissions and open follow-ups, and check that no open enquiry has a blank follow-up date.
A spreadsheet works until several people edit it at once, or until a few hundred rows make duplicates hard to spot. Klass360 Leads & Enquiries checks the mobile number for duplicates as you type, lets one lead hold many course enquiries, and tracks stages, sources and loss reasons. Follow-ups & Tasks then lists what is due and overdue for each counsellor.
