How to use the fee reminder generator
- Fill in the basics. Add your institute name, the parent's name, the student, the course and the amount due.
- Set the due date. For a reminder before the due date, pick Friendly. If the date has passed, switch to Overdue.
- Add how to pay. A UPI ID, bank details or "pay at the front desk" saves the parent a call and gets you paid faster.
- Copy or open in WhatsApp. Add the parent's mobile number to open their chat directly, or leave it blank and choose the chat yourself.
Tips for fee reminders that get paid, not ignored
- Send the first reminder 3 to 5 days before the due date. Most parents simply forget. An early, friendly nudge avoids an awkward overdue message later.
- Always mention the exact amount and date. "Your fee is pending" invites questions. "₹12,500 due on 15 October" gets action.
- Make paying easy. Put the UPI ID or payment link in the message itself, and ask for the screenshot so you can send the receipt.
- Keep the tone respectful, even when overdue. Offer a call if the family is facing difficulty. A calm message protects the relationship and your reputation in the area.
- Note every reminder you send. Write the date against the student in your fee register so nobody gets three reminders in one day, or none at all.
The harder part is knowing whom to remind. In Klass360 Fees & Refunds, pending and overdue installments are listed for you, so the front desk can see every student with a fee due this week, send the reminder from their own phone and record the payment when it comes in.
FAQs Asked questions
Fee reminder generator: common questions
1. How do I send the fee reminder on WhatsApp?
Click "Open in WhatsApp". On a phone it opens the WhatsApp app; on a computer it opens WhatsApp Web or the desktop app. The message is already typed in, so you only check it and press send.
2. Do I need to add the parent's mobile number?
No. Without a number, WhatsApp asks you to choose the chat. With a 10-digit Indian mobile number, it opens that parent's chat directly.
3. Which tone should I use?
Use Friendly a few days before the due date, Formal for older students or corporate batches, and Overdue only after the due date has passed. Hinglish works well when parents are more comfortable with it.
4. Does this tool send messages automatically?
No. It writes the message for you; you send it yourself from your own WhatsApp. Nothing is sent from our side.
5. Is the parent's number or message saved anywhere?
No. The message is created inside your browser. Names, amounts and mobile numbers are not sent to Klass360 or stored.
