Fee Receipt Format for Tuition: What to Include, With a Free Sample

The fields every tuition fee receipt needs, a copy-paste sample format, and simple habits that prevent fee disputes with parents.

Quick answer

A tuition fee receipt should show the institute name and contact, a unique receipt number, the date, student name and course, the amount in figures and words, the payment mode with reference number, which installment it covers, the balance still due, and a signature or stamp. Issue one for every payment, including UPI, and keep numbering continuous.

A good fee receipt format for tuition fits on half a page and answers three questions at a glance: who paid, how much, and for what. It needs your institute details, a unique receipt number, the student and course, the amount in figures and words, the payment mode, the installment it covers and the balance left. Below is a ready sample you can copy, plus the habits that keep receipts useful.

Why every payment needs a proper receipt

Many home tutors and small tuition classes skip receipts, especially for UPI. The parent has a screenshot, you have the money, so why bother? Because a screenshot does not say which child, which course or which month the money was for. Six months later, when a parent says "we already paid the second installment", a numbered receipt settles it in seconds.

Receipts also help you. They make month-end reconciliation easy, give your accountant a clean trail, and make your institute look organised to parents who are comparing you with others in the same area.

What to include in a fee receipt format for tuition

FieldWhy it matters
Institute name, address, phoneIdentifies who received the money.
Receipt numberUnique and continuous; your main audit trail.
Date of paymentMatches bank and UPI statements.
Student name, parent nameAvoids mix-ups between siblings or similar names.
Course, batch, academic yearShows exactly what the fee is for.
Fee descriptionInstallment number, month, or one-time item such as study material.
Amount in figures and wordsPrevents tampering and confusion.
Payment mode and referenceCash, UPI (transaction ID), cheque (number and bank), bank transfer.
Total fee, paid till date, balanceParents see where they stand without asking.
Signature or stampShows the receipt was issued by an authorised person.

The "balance" line is the most underrated field. It answers the parent's next question before they ask it, and it quietly reminds them of the next due amount.

Home tutors teaching a handful of students can use a lighter version: your name and phone, receipt number, date, student, month or installment, amount, mode and balance. Even a simple receipt sent on WhatsApp is far better than none, and it makes you look professional to parents choosing between tutors in the same colony.

Receipt numbering that never breaks

Receipt numbers should be unique, continuous and impossible to reuse. A simple pattern works well:

  • Year prefix: 2026-27/0001, 2026-27/0002 and so on, restarting every financial or academic year.
  • Branch prefix if you have more than one centre: for example, IND-0145 and BPL-0089, so two branches never issue the same number.
  • One series per institute, not per person: if both the owner and the front desk collect fees, they should still draw from the same numbering, or you will end up with two receipts numbered 0145.
  • No gaps, no reuse: if a receipt is cancelled, mark it "cancelled" and keep it. Do not hand the same number to someone else.

If you use a printed receipt book, keep the carbon copies. If you use Excel, protect the sheet so old rows cannot be edited casually.

Cash, UPI, cheque: small differences that matter

Cash

Issue the receipt on the spot, before the parent leaves the counter. Count the cash in front of them and write the amount in words.

UPI and bank transfer

Ask parents to pay to the institute's official account, not a teacher's personal number. Record the transaction ID on the receipt and send it on WhatsApp the same day. Without that ID, matching payments to students at month-end becomes guesswork.

Cheque

Write the cheque number, bank and date. Some institutes mark the receipt "subject to realisation" until the cheque clears, which is a sensible habit.

A note on GST

Whether GST applies to your tuition or coaching fees depends on factors such as what you teach, how your institute is set up and your annual turnover. There is no single rule that fits every tuition class. Please check with your CA whether GST applies to you. If it does, your receipt or invoice will need extra details such as your GSTIN and tax breakup, and your CA can tell you the exact format required.

Common receipt mistakes to avoid

  • Handwritten amounts without words, which are easy to misread or alter.
  • One receipt for two children. Issue separate receipts per student so each fee record stays clean.
  • No installment reference. "Fees received ₹10,000" does not say which installment is now closed.
  • Editing an old receipt for a refund. Refunds should be recorded separately; see our guide on fee tracking, installments and refunds.
  • Sending receipts days later. The best time is within minutes of payment, while the parent still remembers it.

From receipt book to a fee system

A receipt is only as good as the fee record behind it. If the balance on the receipt does not match what your register says, parents lose trust quickly. That is why it helps to issue receipts from the same place where you track installments and dues.

In Klass360, each payment is recorded against the student's installment with its mode and reference, a receipt is generated, and Paid + Pending always adds up to the net fee. The same record feeds the pending and overdue lists you use for fee reminder messages to parents. See how the fees and refunds module works, or try Klass360 free for 7 days with your own batches.

FAQs Asked questions

Frequently asked questions

1. What details should be on a tuition fee receipt?

Institute name and contact, receipt number, date, student name, course or batch, amount in figures and words, payment mode and reference, the installment or period covered, the remaining balance, and an authorised signature or stamp.

2. Do I need to give a receipt for UPI payments?

Yes. A UPI screenshot shows that money moved, but not which student, course or installment it was for. A numbered receipt links the payment to the right fee record and protects both you and the parent.

3. Is GST charged on tuition fees?

It depends on the type of institute, the course and your turnover, so there is no single answer. Check with your CA whether GST applies to you and, if it does, what your receipts or invoices must show.

4. Can I send a fee receipt on WhatsApp?

Yes. A PDF or clear image of the receipt sent on WhatsApp is convenient for parents. Keep your own copy or record of every receipt number issued.
